Administrative Assistant

MD|DC Credit Union Association
The Administrative Assistant is responsible for administrative support of the office and daily operations, office maintenance issues, equipment operations and maintenance and coordination of janitorial services. This position will also assist the Association’s activities and act as a greeter for guests and handle all phone calls.

Position Description

• Responsible for answering and routing calls, admitting and greeting visitors and credit union members, maintaining receptionist area to a high professional standard
• Responsible for processing outgoing courier services; processing and distributing mail and incoming fax documents; processing end-of-month reports
• Point person for general office maintenance and equipment operations; supervise maintenance and coordination of building repairs and cleaning services. Liaison with building management and janitorial service
• Point person for monitoring and ordering inventory of office supplies and necessary equipment (including off-site shopping when necessary), assist with and conduct kitchen cleanup on a daily basis and after in-house events; maintain special hospitality setups in office
• Responsible for simple bookkeeping tasks such as tracking and remotely depositing checks; invoice and check requests, managing accounts receivable and processing end of month reports
• Working with Department Staff, proactively assist with set-up and breakdown of catering and cleanup for in-house events and occasionally off-site events
• Proactively assist with creating, disseminating and organizing materials, equipment, catering, conference rooms and other logistical details as it relates to Association sponsored meetings
• Assist with registering members for training events; input all data entry in the member database; provide additional administrative office support as assigned
• Assist with special projects as assigned

Annual Meeting Responsibilities

• Assist with mailings to credit unions and vendors
• Assist with the organization of the convention registration desk and events as identified
• Assist with convention registrations and ticket orders, preparing necessary materials and badges for attendees

Job Requirements

• Associate Degree in Administration or related field.
• A minimum of 4 years administrative experience
• Proficiency in written and verbal communications skills
• Proficiency in MS Office Suite including: Word, Power Point, Outlook and Excel with specific ability to print name badges, tent cards and labels from Word
• Professional, courteous manner
• Working knowledge of Constant Contact and CVent
• Ability to operate a variety of office equipment
• Proven ability to work in a fast-paced environment with moderate oversight
• Organizational skills with ability to efficiently multi-task
• Reliable transportation
• Ability to move or lift heavy objects such as boxes, tables, etc.
